Tenant Application Process

At Rhubarb Sales & Lettings, we are committed to providing a fair, transparent and professional application process in accordance with the Tenant Fees Act 2019, the Renters' Rights Act 2025 and all relevant housing legislation.

Expressing Your Interest

To apply for a property, please email hello@rhubarbestateagent.co.uk with the following information for each adult applicant:

• Full name
• Contact number and email address
• Employment details (company name, job title, length of employment and salary)
• Current residential status and reason for moving
• Details of any children who will reside at the property
• Details of any pets you wish to keep at the property
• Details of any adverse credit history
• Details of a proposed guarantor (if applicable)

Providing this information does not guarantee that an application will be accepted. Each application will be considered individually and fairly.

If your application is approved in principle, we will invite you to pay a Holding Deposit and commence referencing.

Holding Deposits

In accordance with the Tenant Fees Act 2019, we do not charge application fees.

To reserve a property, a Holding Deposit equivalent to one week's rent is required. Once received, the property will normally be withdrawn from marketing whilst referencing and tenancy preparation takes place.

The deadline for entering into a tenancy agreement is 14 calendar days from payment of the Holding Deposit unless otherwise agreed in writing by all parties.

The Holding Deposit may be retained where:

• The applicant withdraws from the proposed tenancy.
• The applicant fails a Right to Rent check.
• The applicant provides false or misleading information which materially affects their suitability for the tenancy.
• The applicant fails to take reasonable steps to enter into the tenancy agreement within the agreed timescale.

Subject to the above, the Holding Deposit will be refunded or credited towards monies due at the commencement of the tenancy.

Referencing and Verification

Following payment of the Holding Deposit:

• A referencing application will be issued by Let Alliance.
• All applicants must complete the application accurately and promptly.
• Additional documentation may be requested to verify identity, income, affordability and residency.

Examples may include:

• Payslips
• Bank statements
• P60s
• Employment references
• Accountant's references
• Tax calculations and tax year overviews
• Proof of savings

Self-employed applicants will normally be asked to provide evidence of income through recent tax returns, accountant certification or equivalent documentation.

Guarantors

In some circumstances, a guarantor may be requested. This will be assessed on a case-by-case basis and may be appropriate where:

• Referencing identifies affordability concerns.
• Income cannot be satisfactorily verified.
• The landlord reasonably requires additional security.

Where a guarantor is required, they must:

• Be aged 18 or over.
• Reside in the UK.
• Successfully complete referencing checks.
• Sign the relevant guarantee documentation before the tenancy commences.

Pets

Applicants wishing to keep pets at the property should declare this during the application process.

Requests for pets will be considered in accordance with the Renters' Rights Act 2025 and any relevant provisions contained within the tenancy agreement. Landlords may only refuse consent where it is reasonable to do so.

Right to Rent

All adult occupiers must successfully complete Right to Rent checks before a tenancy can commence, as required by immigration legislation.

Important Information

• Payment of a Holding Deposit confirms your intention to proceed with the tenancy application.
• Applicants must respond promptly to requests for information and documentation.
• Delays in providing requested information may affect the ability to complete the tenancy within the agreed timeframe.
• A tenancy will only be granted once referencing, identity verification and Right to Rent checks have been completed to a satisfactory standard.
• No tenancy is created until all parties have signed the tenancy agreement.

Tips to Speed Up Your Application

• Complete your Let Alliance application as soon as possible.
• Check your inbox and spam folders regularly.
• Inform employers, accountants and referees that they may be contacted.
• Notify us immediately if your circumstances change or if delays are anticipated.
